Job Description:
 
This multi-functional role will provide onsite administrative and operational support for facilities and office operations. Duties include but not limited to provide on-boarding assistance for new employees and office scheduling. Perform a variety of duties related to managing an Power Grids facility such as: managing workstation assignments, sorts/ delivers incoming mail, processing outgoing mail, maintain office supplies, coordinate vendors including refreshment services, copier support, setup/ breakdown conference rooms, assist with booking conference room, coordinating coffee/break station(s), order/stock breakroom supplies, print and assemble materials (as requested), coordinate bills related to office, request and manage office related maintenance, resolve employee facility related requests, coordinate security access for office, provide reception duties (as required), maintain processes and procedures, coordinate health and safety activities for office ensuring that the office is safe working environment.

Main Accountabilities:

Facilities and Office management:
- Coordinate refreshment/ social activities for employees at the facility.
- Maintain appropriate level of office and breakroom supplies.
- Process all incoming and outgoing mail.
- Manage safety and security procedures for the facility. Follow Hitachi Energy guidelines.
- Act as custodian of corporate documents and records.
- Competently operate office equipment such as computer, printer, copier, security entrance, etc.
-Responsible for all aspects of assigned site events and assist with other events as needed
- Manage day-to-day maintenance of equipment and facilities (e.g. copiers).
-Maintain processes and procedures related to office management.
-Support site leader responsible for HSE related tasks in a facility including reporting.
- Determine optimal physical layouts for office space, equipment, and furniture. Assists employees in internal moves and coordinates related construction.
- Oversees the coordination of building space allocation, layout and communication services.
- Direct and watch over maintenance personnel and workers engaged in equipment installation, facilities equipment repair, and preventative maintenance.
- Manage personnel/ work activities of temporary/ contract staff working on the local facilities team.
- Evaluate and assess new projects based upon size, complexity, and time frame.
- Provide monthly facility related reports, as required, directed by supervisor.
- Manage monthly bills/ budget for facility.
- Maintain policies and procedures specific to supported facility.
- Handle all facility related requests; contact building maintenance and/ or coordinate with the appropriate vendor to handle the issue(s).
- Plan, schedule, and supervise approved facility related projects.
- Inspect construction and installation progress to ensure conformance to established specifications.
- Plan, and execute other projects as directed.
